Administration
- Preparing reports by collecting and analyzing information
- Maintains office supplies inventory by checking stock to determine inventory level, placing and process orders for out-of- stock items
- Manage and maintain Regional IT Director schedules, including scheduling travel and conferences, making appointments, meetings and making changes accordingly
- Overseeing administrative policies within an organization and within the office; recommending changes as appropriate
Communication
- Contributes to team effort by supporting related tasks/documents as needed
- Coordinate internal & external meetings/appointments/communication and provide necessary follow up
- Collect and consolidate feedback and information from the team, report to Regional IT Director when necessary
Team Management
- Responsible for scheduling and arranging for Team Building activities
- Setup and ensure that meetings for team management are setup and done : One on One,
- Performance Appraisal, Team meetings (global and for each department within the IT Team)
- Responsible for executing on the Best (IT) Place to Work policy : Best (IT) Place to Work
- Track the team spirit.
- Report issues and success.
- Suggest improvements or change to maintain a great team spirit.
Budgeting & Reporting
- Create presentations & prepare statistical reports as directed
- Compare actual budget of each of reporting period
- Manage and maintain budget plan for costing and headcount
- Prepare and distribute reports as directed by Regional IT Director
- Coordinate with Finance, assist with budget preparation
Purchasing
- Prepare monthly purchase reports : hardware and licenses
- Compare and comply purchase request to IT Purchase policy
- Coordinate with HR, Finance, Procurement to maintain timely and accurate documentation
- Record and keep tracking all hardware and service contracts
Recruitment
- Coordinate with HR department to schedule interview
- Contribute to the shortlist with the Regional IT Director
- Been part of the interview panel to provide feedback on candidate behavior.
Projects
- Coordinate various projects during FLG transition
- Coordinate hardware standard, cost allocation and plan, system standard unification and deployment
- Manage the domain names purchasing, renewal and escalation to Infrastructure for Technical setup.
