Overall purpose of the job: The Executive Assistant shall provide responsive, effective and efficient administrative support of a highly confidential and sensitive nature to the CEO. He/she is expected to be fiercely loyal, committed and dedicated and to possess the highest level of integrity. By always staying one step ahead of the CEO, he/she ensures that the CEO is productive and focused. Ultimately, to be successful in this role, the Executive Assistant must be a pleasure to work with, have utmost flexibility, have the energy to keep up with, and uncompromisingly deliver a top-notch professional service to the CEO.
Administrative support including but not limited to:
- Calendar management in a sophisticated manner, knowing what and when to prioritize, while troubleshooting conflicts with little guidance; when necessary, use judgments and make recommendations to ensure smooth and effective use of time
- To-do list management
- Rolodex management
- Complex logistical support and be on standby during travel times to quickly address any last minute changes or cancellations
Meeting preparation
- Draft agenda and desired outcomes
- Brief participants ahead
- Prepare materials and facilities ahead
Documenting support including but not limited to:
- Error-free, concise and eloquent note taking
- Error-free, prompt and tidy document drafting and word processing
- Document control (physical and digital)
- Proof read documents to ensure accuracy, completeness and adherence to company formats
Communication support: Receive incoming calls and correspondence, handle them with sensitivity and sound judgment, all the while maintaining grace, sophistication and professionalism
Follow up and coordination support
- Follow up with other executives and support staff on outstanding tasks to ensure a high performance and execution-oriented work environment
- Assist with onboarding of new direct reports of the CEO and track progress throughout induction period
Serve as gatekeeper of CEO’s office vis a vis people and documents
- Review, determine priority and route incoming requests and correspondence
- Screen materials and reports to ensure compliance, accuracy and completeness prior to arranging for signature
- Refer matters to appropriate departments and/or executives for action or solution
Perform other duties as assigned from time to time
