1. Reception
Ensure all calls are received in a professional manner, e.g. arrangement of back-up if needed, etc…
Ensure switchboard system are well maintained and make sure 95% operator are free for out-going and in-coming phones
Ensure the reception area is always clean, neat, tidy and loaded with updated brochures and corporate publication from Group, Company
certificates, all available forms and envelops for use.
Always provide Internal/External customers with an customer-oriented and professional attitude
Inform relevant people, e.g. IT team, employees, etc… in a timely manner if there are any issues with the switchboard system and coordinate with IT team to fix the issues at the soonest.
Control the roaming mobile card of the Company
2. Administration
a. House-keeping
Ensure all office’s cleanness and tidiness, including shop-floor areas
Ensure all relevant issues, e.g. water, electricity, restrooms, pantry, etc… are fixed in a timely and efficient manner
Control all relevant keys in a systematic way and coordinate with relevant people to ensure office security
Manage the Tea Lady and the Gardener to provide excellent housekeeping services to all Plant, e.g. sharing clear expectations, setting KPI,
spending time for regular coaching, conducting annual review, etc…
b. Office management
Arrange cost-efficient transportation for employees in need with authorized approval.
Collect taxi/car bills and prepare monthly report.
Manage and ensure all drivers, including company ones and those of Excoms, understand company policies and regulations.
Manage meeting room booking system for Plant, ensure all meeting room equipment and facilities are always available for use and
coordinate with It team and relevant people to fix those equipment and facilities in case of damage at the soonest.
Ensure all documents (mails/letter/memo/ couriers) are well organized and meet ISO and 5S standard.
Manage stationery to ensure the availability for business, right delivery time and save cost
Control Plant store and keep tight track of store items
Control lockers
Manage PPEs for all Plant employees, e.g. distribute PPE for visitors, securities & order when necessary
Update Plant contact list and send to all employees at the beginning of the month
Control and manage weekly drinking water order and consumption to ensure all employees are entitled to drinking water during their working time
Handling Plant guests or VIP visits to Plants, e.g. ordering lunch, preparing fruit, tea, coffee, etc…
c. Canteen
Ensure the canteen supplier provides in full all relevant food hygiene and safety documents upon request, e.g. food origin, record about food origin, cooking process, food sample storage, etc…
Ensure all canteen supplier staffs undergo health check and are trained about food hygiene and safety before starting working at Plant canteen.
Regular check on canteen cleanliness and tidiness.
Prepare and send canteen report to HEPZA on a quarterly basis
Check and approve monthly canteen menu at the beginning of the month and ensure the menus have a logical combination of dishes and changed on a regular basis
Ensure all employees get drink coupons in full on a monthly basis in a timely manner.
Confirm on weekly order in a timely manner so that all employees have their meals in a timely manner.
Coordinate with SHEAR department to prepare for audits and explain in details as required.
a. Order, payment and reporting
Ensure all reports, admin expenses (stationery, canteen, etc…) are submitted on time and with 100% accuracy of data and figures
Ensure monthly ordering of stationery, printing ink, pantry stuff, drinking water, tissues and cleaning paper, coffee, garden material, etc… are done on time and all goods are delivered in time for use.
Prepare all relevant documents for monthly payment of stationery, printing ink, pantry stuff, drinking water, tissues and cleaning paper, coffee, garden material, courier services, etc…
Control Plant petty cash
Control PR, PO and inform suppliers of related informations.
Manage bill of taxi, electricity, drinking water, etc…
Raise PR to prepare to fix all office-management issues
2. Hr
a. Support with employee-related activities
Support and coordinate with HR team for control/management of timesheet and in-out report of all Plant employees.
Print all memos and update them on Plant bulletin boards
Welcome new employees and conduct induction for them about basic fire evacuation and admin-related items, e.g. office facilities, office 5S, etc…
Remove finger prints of resigning employees
Print weekly timesheet for out-sourced security staffs
Send monthly timesheet of the Tea Lady and the Gardener to C&B team in due course.
Manage the contracted doctor’s timesheet
Support with employee engagement activities, e.g. trade union, staff parties, etc...
Coordinate to get list of employees to receive WCM monthly allowance and send to C&B team in due course.
