- Receive incoming calls and route them to required extension or take messages as required.
- Welcome visitors to the office. Register visitors’ names and details in Visitor Log Book. Inform the host of the visitor’s arrival.
- Handle in-coming and out-going correspondence/mail, newspapers and document. Distribute/send document/letters to addressees internally and externally, make sure they are sent to the right addresses and the best way of delivery.
- Control booking of meeting rooms.
- Update corporate hotel list (annually). Update hotel, driver list and other administrative contacts on IMT document (quarterly)
- Scan documents at requests
- Co-ordinate with other administration team member(s) to follow up the purchase of office stationery and other supplies. Keep systematic record of small purchase and order.
- Verify invoices of Mail rooms
- Support Service Assistant in monitor and control lunch/catering arrangement for staff
- Provide support to the Service Assistant (in her absence): hotel booking, verify Travel Request Form.
- Provide other Administrative support to Company event or function as assigned by Admin Team Leader.
- Complete tasks assigned by line managers from time to time.
