A. General purpose of the position:
Provide HR administrative assistance for FV staff, including:
- Work permit, visa, residence card application, residence registration and other administration procedures for foreigners
- Be in charge of air tickets, hotel booking, per diem, travel insurance for staff’s business trip, conference, training, annual home leave, relocation …
- Manage FV training room/ meeting room
- Order stamp & manage all stamp provided to staff
- Provide taxi service & report taxi expense to Finance department
- Other HR administrative services: employment certificate, residence certificate, employee name badge …
B. Key duties and responsibilities:
1. Work permit application and extension
- Provide instruction of personal document preparation to foreigner staff including personal document list, authentication & legalization procedure guidelines
- Assist French staff in document authentication & legalization
- Submit work permit application documents to Dolisa
- Update & follow up work permit validation date for extension
2. Visa/ residence card application and extension for foreigners or FV staff on oversea business trip
- Submit residence card application documents to Immigration Office
- Coordinate with Agency to apply visa for foreigner staff and staff’ family members
- Update & follow up visa/ residence card validation date for extension
3. Air ticket, hotel booking per diem, travel insurance for staff’s business trip, conference, training, annual home leave, relocation
- Book air ticket via designated agency
- Book hotel for staff on business trip, training, conference according to FV standard
- Instruct staff to get reimbursement in case they book hotel, air ticket by themself
- Facilitate staff to get per dime
- Buy travel insurance
4. Administrative preparation for new staff
- Take & manage all staff’s photo
- Issue name badge to new staff
- Provide new badge to staff in case staff change position/ department, is promoted or lost old name badge …
- Collect name badge from termination staff
5. Residence registration for foreigners who are living in FV housing complex
- Prepare & submit residence registration document to Tan Phu Ward Police for foreigner staff who are living in housing complex
- Update & manage foreigner’s residence registration list
- Provide monthly report to Tan Phu Ward Police
6. Order stamp & manage all stamp provided to FV staff
- Provide instruction to other departments on how to raise a stamp request
- Order stamp as request
- Manage all stamp provided to staff
- Monthly expense report to Finance & Accounting
7. Taxi service management
- Provide taxi card to staff & other departments
- Provide pick up service for Head Department, key persons, expat candidates
- Manage taxi card, checking taxi expenses & process payment to taxi providing company
8. Other HR services
- Provide employment certificate to staff for personal purposes such as visa application, banking,
- Prepare introduction letter for HR staff to work with authorities and externals
- Coordinate with other departments in booking & using training/ meeting rooms
- Distribute internal magazines & communication documents
- Coordinate with related departments to prepare and send condolence flowers & money to related staff
- Provide administrative assistance for HR staff in document notarization as request
9. System development
- Make proposal on development of HR administrative service data management system
- Develop policies and procedures on HR administrative services
- Update related law system
10. Other administrative support
- Perform other tasks as requested by Line Manager
- Back up other team members
