I. Reception:
- Handle all incoming calls and transfer to appropriate people, promptly take messages if the receiver is not available;
- Receipt and welcome clients, visitors, guests, etc. and provide them with appropriate information;
- Receive and delivery letters;
- Assist in any event or cerebration needed.
II. Administration:
- Manage the administration of the company:
o Arrange for payment all admin fees including motor parking fee and phone allowance to staff every month;
o Admin purchasing: business cards, uniforms, office devices, health check, etc.
o Work with suppliers (stationeries, drinking water, printing ink,
flowers, etc.);
- Business trips and Tet gift support:
o Organize staff or management business trips with cost- effective travel arrangements (flights, rental cars and hotels, etc.);
o Schedule and arrange car service: Receive request, prepare cars including car rental, update schedule, coordinate, car rental payment, driver report checking; reporting and suggestion to manager.
- Office and building matters:
o Manage the maintenance of office and service contracts;
o Liaise with building management on all office and building management matters.
III. Human Resource:
- Maintain contact lists to make that it is updated monthly;
- Assist in attendance tracking all type of leaves;
- Birthday, new-born, marriage, illness etc. on time;
- Support to new hires: organize working space, setup of phone, etc.
- Support in Health and Accident insurance.
